OVERVIEW

What Fleet Management Software Does

Fleet management software collects data from vehicles, drivers and connected equipment and turns it into maps, alerts, reports and operational workflows. It can combine location, mileage, fuel, engine parameters, maintenance, driver events and video, then exchange selected data with ERP, dispatch, billing and other business systems.

✓ The required data determines the hardware, sensors and vehicle connections.

✓Both cloud and on-premise deployment are available; the right model depends on the selected platform and project requirements.

✓An individually scoped pilot on the client’s own fleet can validate the design before rollout.

OPERATIONAL CONTROL

From Fleet Problems to Operational Control

A useful fleet management system should connect each data point to a decision or workflow. TAI Capital configures the system around measurable operating problems rather than presenting a fixed feature package.

Fuel data does not match accounting records

01

Compare sensor or CAN data with trips, fill-ups, drains and fuel-card transactions.

Routes and restricted zones are difficult to control

02

Use maps, trip history, geofences and event notifications.

Maintenance depends on manual reminders

03

Schedule service by mileage, engine hours, dates and diagnostic data.

Driver events are difficult to reconstruct

04

Review driving events and related video in the operational context.

Reports must be compiled manually in spreadsheets

05

Configure role-based dashboards, reports, exports and scheduled delivery.

Fleet data remains isolated

06

Exchange agreed records and events through APIs, webhooks or other integration methods.

CAPABILITIES

Core Capabilities

01

Live Location and Trip History

See vehicle or asset positions, movement status, previous routes, stops, mileage and travel time. Geofences and route controls help teams focus on deviations.

02

Fuel Data and Reconciliation

Combine fuel level sensors, CAN parameters, trips, fill-ups, drains and consumption reports. Fuel-card integrations can be assessed by API and transaction format.

03

Driver Events and Video Review

Configure speeding, braking, acceleration, idling and route-deviation events. Where cameras and connectivity are included, retrieve authorized footage remotely.

04

Maintenance Planning

Build service schedules around dates, mileage, engine hours and available diagnostic parameters. Notifications and maintenance records support preventive action.

05

CAN and Equipment Data

Read relevant parameters from compatible CAN and J1939 networks or external sensors, then normalize them for reports, alerts and integrations.

06

Reports and Dashboards

Give owners, dispatchers and technical teams role-specific views, scheduled reports and controlled access by user, department, customer or asset group.

07

Routes, Zones and Exceptions

Create routes, depots, customer sites and restricted zones. Highlight late arrival, unauthorized use, excessive idling, prolonged stops or movement outside configured conditions.

08

Business System Integration

Connect fleet records with ERP, TMS, dispatch, warehouse, accounting, billing, fuel-card and customer systems under a defined data specification.

09

Mobile Access

Use supported mobile applications for vehicles, sensors, events, tracks, geofences and reports. Fleet One connects to Wialon Hosting and Wialon Local.

TECHNICAL FIT

Platforms and Products We Work With

There is no single platform that is best for every fleet. TAI Capital compares the operating model, installed hardware, reporting needs, deployment constraints, integration scope and future roadmap, then recommends a suitable product or connected combination.

SELECTION CRITERIA

How to Select a Fleet Management System

01

Hardware compatibility

List existing trackers, cameras, sensors and transmitted parameters. TAI Capital supports multi-vendor equipment and protocols including Wialon IPS, EGTS, Wialon Retranslator and many others.

02

Deployment and data policy

Decide whether cloud or on-premise is required, where data may be stored and who operates the infrastructure. Retention can range from 30 days to five years.

03

Integration requirements

Document every system that exchanges data, the required fields and the business purpose. Confirm interfaces, update frequency, error handling and monitoring responsibility.

04

Reporting and workflow fit

Map each operating decision to a report, alert, dashboard or action. Test representative data, permissions, scheduled delivery, exports and audit requirements.

05

Growth and operating model

Consider new vehicles, asset types, countries, customers, departments and data sources. Confirm how accounts, licences, storage and support change as the project grows.

06

Support and accountability

Define who receives user requests and who investigates devices, protocols and integrations. TAI Capital separates first-line support from second-line engineering escalations.

DEPLOYMENT

Cloud or On-Premise Deployment

Cloud deployment usually reduces the infrastructure required from the client and can accelerate rollout. On-premise deployment gives the client direct responsibility for local infrastructure and may fit specific data, security or integration requirements. Availability depends on the selected platform.

Selection criterion Cloud On-premise
Time to launch Usually faster once accounts and integrations are ready Depends on server preparation, security review and local access
Data location Hosted environment defined by the selected provider Client-controlled infrastructure and approved location
Infrastructure Primarily operated by the platform or hosting provider Operated by the client or agreed infrastructure partner
Updates Managed according to the cloud service release process Planned with local compatibility, maintenance and rollback controls
Scaling Expanded within provider and licence limits Requires planned server, storage and operational capacity

PROJECT ARCHITECTURE

Designed around your fleet and existing systems

Every project starts from what is already in place: installed trackers and sensors, the platforms your team uses and the business systems that need fleet data. TAI Capital then builds the data flow from the vehicle to the decision, adding new components only where the existing setup cannot deliver the required result.

CASE STUDY

Implementation Example

TAI Capital implemented an independent CAN bus monitoring system for a fleet of 845 trucks. The project included CAN connection, data decoding, custom tracker firmware and real-time transfer to Wialon. More than 16 operating parameters became available for monitoring and reporting.

Fuel-card transactions were also compared with actual fuel activity measured by the installed sensors. According to the published case study, the client reduced subscription and operating costs while retaining control over configuration and future extensions.

PROJECT PRICING

What Determines Fleet Management Software Cost?

Every fleet project is priced individually after a technical assessment. The estimate is based on the confirmed solution architecture and implementation scope rather than a fixed software package.

A pilot can be carried out on representative vehicles or assets before a full rollout. Its scope, duration, acceptance criteria and commercial terms are agreed individually.
